Job description
The Business Administrator undertakes a number of general office administrative duties which include liaising with Clients, Field colleagues, Subcontractors and other departments in the business. All duties revolve around Customer Services duties, in both reactive and proactive manners.
You will work closely with the Administration team and Office Manager to help maintain a smooth and efficient office
The Business Administrator is proactive in their work habits and shows high interest and engagement in all tasks delegated to them.
Polite and professional communication skills are essential to interact with all stakeholders. It is a very varied role, requiring a degree of patience and confidence.
The Main Duties of the Business Administrator are:
- Maintain Databases and Logs
- Preparing Documentation Packs
- Producing Letters and Documentation
- Answering Telephone
- Meet and Greet Reception Duties
- Office Filing, Shredding, Photocopying, Scanning and Archiving
- Post and Banking Duties
- Assist other admin members as required
- Process incoming faults (emergency call-outs) as they come in by email or phone
- Book subcontractors and oversee the organisation of their visits to our client’s sites
- Raise sales invoices for the Service department daily.
- Coordinate and book preventative visits with Clients
- Raise small quotations for repairs/replacements/relocation of items
- Follow up quotations and obtain order numbers from the client
- Process sales orders liaise with purchasing for spares and organise delivery/visit for the engineers
